3 ways to synchronize your systems and promote your practice

A harmonious office is a successful office. While we don’t always think of it in these terms, we all strive to create an efficient, cohesive, unified office where each team member works together and every process is streamlined.

Re-tool your technology

We all understand the importance of technology. It helps run our practices in more ways than we could imagine – technology processes payment, schedules visits, follows up with patients, streamlines communication between team members and ensures we have all data in place. One of the biggest issues for any company is when different technologies don’t sync up. For example, if we have one system that houses our patient files but it doesn’t talk to our imaging system, it can be hard to coordinate the two technologies during a patient’s visit.

One thing I always look for is technology synchronization. My practice marketing software auto-synchronizes with my practice management system, Eaglesoft, so I can market my practice and track new visitors as a result of my marketing campaigns very easily. For example, I have implemented a few marketing campaigns at my office when I have wanted to offer a special service, like teeth whitening, and can easily see what patients I bring in from the promotional strategies surrounding the programs being implemented through RevenueWell. I can see who clicks on the Facebook links that RevenueWell sets up, or who opens and responds to the promotional emails I send out through the system.

Promote your practice

Putting the work into marketing your practice can seem daunting and unfamiliar, but the truth is you need to commit to this strategy. Today, a patient can walk down the street and find a new dentist who is promoting him or herself, talking about the latest and greatest they have to offer. Chances are, you’re already offering much of what patients want and you simply need to get the word out.

I have used a practice marketing system called RevenueWell from Patterson Dental for the last two years and have seen an increase in office efficiency and an ability to reach patients in ways we hadn’t been able to previously.

Communication coordination

Your staff is a huge asset to your practice. They are the first impressions for your office as they greet people at the door or communicate with your patient prior to a visit. However, your office team can get easily overwhelmed with the amount of communication that is sometimes needed to secure, confirm and remind patients of upcoming appointments. With our practice marketing system, we have been able to reduce the amount of phone calls we need to make in order to confirm appointments.

Even better, our practice marketing system offers the ability to send mass email and text confirmation, further reducing the time my staff needs to spend on the phone making multiple reminders.

All in all, this coordination between the technology systems in place at my practice has improved our scheduling process and created multiple efficiencies along the way. We can easily attract new patients through marketing campaigns and confirm their appointments in a single, synchronized step. This saves time for my office staff and helps to unify our systems.
